Graduation Video Drop-In Terms and Conditions

These terms and conditions apply to all participants taking part in the Summer Graduation 2026 drop-in sessions organised by the University of Salford (“the University”). The purpose of the drop-in sessions is to record video-only content that may be shown on screens inside the Lowry Theatre during Summer Graduation ceremonies, as well as other University-owned channels (find more information below). 

The videos will be a unique snapshot of soon-to-be Salford graduates and aims to celebrate your hard work and achievements. By joining a drop-in session, you confirm that you agree to the terms and conditions below.

Consent to Recording and Use of Content

By participating in the session and featuring in recordings, you acknowledge and agree that:

  • Your video image will be recorded and may be used for the following purposes:
    • Displayed on digital screens in the Lowry Theatre during Summer Graduation 2026 ceremonies.
    • Used in social media content on channels owned by the University including but not limited to Instagram, TikTok and Facebook.
    • Displayed on digital screens on the University of Salford campus.
    • The University may also use your video image on the University of Salford website and for external marketing purposes.
  • Your name, student ID and contact details will be recorded for the purpose of identification to ensure you are eligible to attend Graduation. 
  • All final decisions regarding editing, publishing, or distribution rest solely with the University.

If you do not consent to being recorded, please do not take part in the session.

No guarantee of use

Participation in a drop-in session does not guarantee that your content will be used or featured for the purposes outlined above. Videos will only be used if they conform with the terms and conditions.

Video restrictions

To ensure that videos are appropriate and legally compliant, they must not feature:

  • Flags, banners, political symbols, or national/organisational emblems.
  • Logos, advertising, or branded materials.
  • Copyrighted content that you do not own or have permission to use.
  • Offensive, harmful, defamatory, or discriminatory material.
  • Hand gestures, signs, or other physical actions that could be considered offensive, threatening, or inappropriate in any cultural context.
  • Individuals who have not given their explicit consent to appear in the recording.

The University reserves the right to disregard videos that breach these restrictions.

Eligibility

Individuals attending drop-in sessions must be eligible to attend Summer Graduation 2026 and over 18 years of age. If participants under this age attend, separate written consent from a parent/guardian is required.

Privacy and data protection

The University is committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR).

Data We Collect

We may collect and process the following data during your participation:

  • Video and audio recordings of the session
  • Your name, student ID and contact details
  • Any personal data you share verbally or visually during the recording

Purpose of Data Processing

Your data will be used for the purposes outlined in the terms and conditions (Consent to Recording and Use of Content).

Legal Basis for Processing

We rely on the following legal bases to process your data:

  • Consent – Your explicit consent to be recorded and for the content to be used for the purposes outlined in the terms and conditions
  • Legitimate interests – Where applicable, for project delivery, organisational learning, or impact reporting

Data Storage and Security

Your personal data will be stored securely by the University and not distributed. Your video image will be shared with an external Audio-Visual (AV) company responsible for the operation of display systems during Summer Graduation 2026 and may be shared and published on platforms specified above. Data will not be sold or shared with unauthorised third parties.

Recordings will be retained by the University for no more than five years unless legal or operational requirements require otherwise.

Your Rights

Under UK GDPR, you have the right to:

  • Access your personal data
  • Request correction of inaccurate data
  • Request deletion (where applicable)
  • Withdraw consent at any time
  • Request restrictions on processing
  • Object to certain uses of your data

Please note: Withdrawal of consent will not impact any content already published prior to the date of withdrawal.

Disclaimers and acceptance

By joining a drop-in session and providing your personal data, you confirm that you:

  • Have read and understood these terms and conditions, and agree to be bound by them
  • Consent to the use of your data and recordings as described
  • Are participating voluntarily and at your own risk, and that the University is not liable for claims, losses, or damages arising from any recordings gathered 

If you do not agree to these terms and conditions, please do not participate in the session.
