Whether your conference is in our facilities or an external venue, our experienced conference management staff can help you to manage your event.

From help with bid preparation right through to post-event evaluation, we can plan and manage your whole conference. If you prefer to keep closely involved, we can work with you to provide as much help as you need, or what your budget allows. Whether you need help marketing your event, assistance with delegate registration or a full management programme, you can leave things in our very capable hands.

All quotations are given on a completely bespoke basis and can start with your bid document and budget, right through to post-event evaluation.

  • Work with Visit Manchester, the tourist board for Greater Manchester, to prepare a letter of intent and professional bid document
  • Create a budget to ensure that the conference is financially viable.
  • Set the delegate fees at an appropriate rate
  • Manage the delegate registration process and payment of fees
  • Liaise with delegates with pre- conference queries
  • Work with Visit Manchester to provide an accommodation finding service
  • Manage the abstract submission process
  • Work with the reviewing panel and feedback to the authors
  • Produce the abstract book or proceedings
  • Make the practical arrangements for the poster sessions
  • Arrange all the print requirements.
  • Put together event proposals and plans
  • Provide guidance on health and safety issues
  • Arrange entertainment
  • Arrange a social programme for delegates and accompanying persons
  • Source the delegate packs
  • Attend and advise on the organising committee meetings
  • Arrange contracts and liaise with suppliers
  • Manage income and expenditure
  • Arrange gifts for speakers and delegates
  • Promote the event via social media and encourage delegate interaction
  • Work with colleagues at the university to secure sponsorship.
  • Liaise with exhibitors regarding the practical arrangements of the conference.
  • Arrange and attend site visits (on or off campus)
  • Negotiate with venue on price and service levels
  • Arrange transport to and from venues and social activities
  • Arrange catering and liaise with the venue’s caterers
  • Liaise with venues on room layouts, audio visual requirements, car parking and housekeeping arrangements.
  • Delegate registration
  • Be a point of contact/information for delegates and organisers throughout the conference
  • Attend any social events and act as a point of contact for venues
  • Liaise with exhibitors and provide venue information and support on the day
  • Act as Master of Ceremonies at conference, dinner and other social events.
  • Prepare a post-conference report
  • Conduct post-conference evaluation.
