Borrowing AV equipment


This service is available to University staff only

Every teaching and assembly space across the University is fitted with the type of audio-visual equipment that is likely to be needed—see Equipment Installed in University Teaching and Open Access Spaces. If a suitable space is not available, or if you need to use a specific space that doesn’t have the equipment you need already installed, you can make use of the audio-visual loan service.

Note that loan requests must be made at least 48 working hours in advance of your requirement. All loan requests are subject to availability.

  • Slide Projectors
  • VHS Video or DVD Players
  • LCD Data Projectors
  • Large Format Mobile Screens
  • Digital OHPs / Document Cameras
  • Laptop Computers
  • Portable 'mini' PA Systems
  • Radio Microphones
  • DVD, HDD, DV cameras and Digital Still Cameras
  • Tripods
  • Digital audio recorders
  • Loan requests must be made at least 48 working hours in advance of your requirement
  • All bookings are subject to availability
  • Remember, if you need to book a specific room/space for your event, you must do this separately, via the Timetabling Service

You can submit your loan request by completing the online Audio-Visual Equipment Booking Form

Once you have submitted your request, a Technician will contact you to shortly.

The requested equipment will be delivered to your specified location, at the time you specify. It will be collected from the same location at the end of your event.

The loan service is available to University staff only.

Loan equipment will be delivered only during the hours: 0800h-1700h, Monday-Friday on University business days.

The Technician who delivers your equipment will be able to spend a few minutes with you to explain its operation, provided you are present when the Technician arrives. If you need more thorough training on the operation of AV equipment, see Training

If you find any problems with the audio-visual equipment you have borrowed, you can contact the Digital IT Service Desk during business hours.

  1. Loan requests must be made at least 48 working hours in advance of your requirement.
  2. The maximum loan period is normally 48 hours, though it may be possible to extend the loan period by prior arrangement.
  3. All loan requests are subject to availability.
  4. Borrowed equipment must not be removed from University premises.
  5. Only University staff may borrow audio-visual equipment.
  6. To limit the impact on service for repeat bookings, borrowers may be offered, or asked to use installed facilities rather than loan items.
  7. Borrowers must collect items at the agreed time. Technicians will attempt to contact borrowers where necessary, but they are instructed to wait for no more than fifteen minutes.
  8. Borrowers must ensure that all loan equipment is returned. Any loss or damage will be charged to the borrower's school/department.
