About the Role

You will work with the Head of Events and Event Manager to deliver a wide range of conferences (up to x3 per week during peak periods), ensuring the user experience is of the highest standard.  This is a fantastic opportunity for an individual looking for the next step in their events career, offering opportunities to progress into a senior coordinator position.

You will support the Event Manager and have your own portfolio of conferences on topics including business development, leadership and management, health & social care, the built environment, education, public services and media, and will oversee logistics and delivery pre-/during/post event day - liaising with sponsors, delegates, speakers, corporate partners and suppliers delivering a high level of quality-assured customer service.

The role is hands on and requires a flexible approach.  You will be expected to work outside of office hours from time to time at both on site and external venues.

Duties & Responsibilities

The Event Coordinator’s role is to fulfil the following duties and responsibilities:

  • Contribute to the organisation and delivery of SPD conferences at on-site, campus and external venues to time and budget
  • Assist the Event Manager with site inspections (on and offsite) to maintain a portfolio of preferred venues and competitive rates
  • Book rooms and venues, order catering, arrange room set up and create branded documents and event materials
  • Manage communications and administration of your assigned portfolio of conferences - being the main point of contact for delegates, sponsors and suppliers and actioning their requirements
  • Raise and receipt purchase orders, escalating any issues to the Event Manager
  • Work within a cost focused environment, being conscious of budget and costs relating to events
  • Work with the Event Manager to improve and drive delivery processes and standards across the event programme
  • Provide excellent on the day support and customer service: meet and greet delegates, speakers and sponsors
  • Delegate to other team members on the day to ensure customer service is of an excellent quality
  • Collate feedback from delegates and sponsors ensuring this is logged with Quality Assurance
  • Complete post-event administration including costs
  • Ensure stock is ordered for event activities
  • Contribute to the day to day running of Adelphi House, raising any issues with the building manager

This role detail is a guide to the work you will initially be required to undertake.  It may be changed from time to time to meet changing circumstances.  It does not form part of your Contract of Employment.
