IT accounts

An IT account provides the means by which University members (students, staff and Associates) are able to connect to the University data network and access various IT resources.

Every member of the University—student, staff and Associate—is assigned a ‘IT account username’ and password, at which point they become registered as IT Users (or simply ‘users’). Depending on the nature of their University membership, a user’s login name and password will allow access to the University campus data network and the various University facilities that are connected to it; for example:

  • University campus PCs, and use basic utility software (like Microsoft Office) and access the Internet;
  • Campus WiFi;
  • University applications such as Blackboard (on- or off-campus).

If you are a Student, your login account details will be communicated to you when you are initially admitted to the university;

If you are a member of staff working directly for the University, instructions on how to register your login account should be given to you as part of your initial induction with the Human Resources Division. Go to the staff login account registration page

If you are employed via an agency, or you have any other relationship with the University, you will need to contact your Line Manager or Sponsor, who will request an Associate IT account for you if appropriate.

Everyone who accesses the University campus data network or connected facilities is bound by the University’s Acceptable Use Policy

About passwords (forgotten, resetting, minimum strength, expiration)

Working from off-campus

An IT account password is the key to the University resources that have been allocated specifically to the intended user(s) of the account. An IT account password must never be disclosed to anyone who is not an intended user of the account.

A password will need to be changed (reset) from time to time, for example, because it has expired*, or of course if you have forgotten it.
*Student account passwords expire every twelve months; other users’ passwords every six months.

If you use your phone or other mobile device to access University resources and your password is stored in the device, then after you have changed your password be sure to update your device with the new password.

If you have forgotten your password…


…you will need to reset it. To reset your forgotten password, do one of the following. When you change your password, ensure your new one meets the password security criteria:

  • If you are on-campus, you can log on to a campus PC, entering changepass as the username, and changepass also as the password. You will then be taken to a web page where you will be able to reset your password (and also your email/Office365 password if you wish) once you have correctly entered certain personal information you will be prompted for.
  • If you are off-campus, or you are working on-campus but from a personal device, go to https://identity.salford.ac.uk/StudentPasswordSelfService where you will be able to reset your password (and also your email/Office365 password if you wish) once you have correctly entered certain personal information you will be prompted for.
  • If you have been unsuccessful using the above methods, you will need to contact the IT Service Desk.

If your password has expired…

…you will need to reset it. To reset an expired password, do one of the following. When you change your password, ensure your new one meets the password security criteria:

  • If you are on-campus, simply log on to a campus PC. As part of the login process, you will be prompted to set a new password.
  • If you are off-campus, or you are working on-campus but from a personal device, go to https://identity.salford.ac.uk/StudentPasswordSelfService where you will be able to reset your password (and also your email/Office365 password if you wish) once you have correctly entered certain personal information you will be prompted for.
  • If you have been unsuccessful using the above methods, you will need to contact the IT Service Desk.

*Students' login passwords automatically expire 12 months after creation of their login account, or following any password reset, whichever is the later.

If you need to change your password for any other reason…

… Do one of the following. Note, when you change your password, ensure your new one meets the password security criteria :

  • If you are on-campus, log in to a University PC. One you are logged in, press ‘CTRL, ALT & DEL’, select the option to change password and follow the on-screen instructions.
  • If you are off-campus, go to https://identity.salford.ac.uk/StudentPasswordSelfService where you will be able to reset your password (and also your email/Office365 password if you wish) once you have correctly entered certain personal information you will be prompted for.
  • If you have been unsuccessful using the above methods, you will need to contact the IT Service Desk .

  • If you have been unsuccessful using the above methods, you will need to contact the IT Service Desk.

  • If you are on-campus, log in to a University PC (provided your account class allows this). One you are logged in, press ‘CTRL, ALT & DEL’, select the option to change password and follow the on-screen instructions.  
  • If you are off-campus, or you are working on-campus but from a personal device, go to the remote access portal at https://portal.salford.ac.uk. Open ‘OWA Web Outlook’ (i.e.,  web email); Select the ‘Options’ drop-down list on the top-right of the page; from the list, select ‘Change Your Password’.

Under normal circumstances, only directly-employed members of University staff are authorized to request Associate login accounts.  

Associate members of the University include agency staff, contractors, visitors, external examiners and others who are neither student  nor directly-employed staff. Where appropriate, directly-employed university staff may request temporary login accounts for Associate members they are responsible for engaging; i.e., for whom they are Sponsor.

There are various classes of Associate login account; the class is selected as part of the requesting process, based on the type of relationship the Associate has with the University.  Depending on the account’s class, the accountholder will be given access to certain University resources  as standard (for example: campus PCs, personal network storage, Blackboard/Virtual Learning Environment, University email, physical library resources, electronic library resources).

In order to request a login account for an Associate, you must be the Associate’s sponsor.

Requesting Associate login accounts – explanatory notes and warnings:

The Associate Member Request form (only available on-campus) is intended to be relatively self-explanatory; however please note that the Sponsor must confirm, on the form, that they have had site of at least one form  of identification (or ‘joining credential) for the Associate.

Account duration: An Associate login account will become available from the date specified on the request form. The account’s duration may be up to 18 months, after which it will become inactive. The Sponsor may request  an extension to the account’s duration at any time, by contacting the ITS Service Desk.

Activation: Once the Associate account’s start date has been reached, the Sponsor will receive an automatic email notification, containing instructions for activation. This  will include a link to the online activation portal. Account activation via this portal must be carried out by the Associate accountholder, not the sponsor.

WARNINGS:

  1. Much of the information supplied by a sponsor as part of the account request process is required  for legal reasons, therefore it must be accurate and in no way misleading.
  2. During the activation process, the Associate accountholder will be required to select security questions, and to provide answers to them. This is a vital step in the process, because if the accountholder later forgets  their password and contacts the IT Service Desk for a password reset, they will be asked for answers to these questions. If they cannot provide sufficient correct answers, or if the security questions have not been set up, the password will not be reset and the accountholder’s access will be permanently lost.
  3. The accountholder must abide by the Associates IT Access Control Policy

There are many different types of associate member. These types are known as associate member classes in the identity management system. Each associate member class has a defined entitlement to a range of services.

NHS Secondments.NHS Secondments are employees of the NHS that are contractually seconded to the University, for a period of six months or more. If you Change your name...

If you're a Student and have legally changed your name, contact the askUS service in the first instance.

If you're a member of Staff and have legally changed your name, there are several records within IT systems that will need to be updated. Here is what you should do…

  1. Firstly, ensure you inform the Human Resources Division; if you are a directly-contracted member of staff, they will update your Personnel record on the SAP database, which will cause the details on your IT login account to update automatically, and your entry in the telephone corporate directory* to update automatically.          

  2. Contact the ITS Service Desk, informing them of your changed details, and:            
    1. Indicate your preference as regards changing your email address (note that email addresses need to conform to the university’s email address policy);                
    2. Tell them if you are employed via an agency, in which case they will need to update your IT account manually;                  
    3. If you have a University phone extension in your name, they will need to update the ‘caller identity’ details for that extension.                  
  3. If you have a University phone extension in your name, you will need to contact the person in your department who is responsible for maintaining the department’s entries in the Staff Directory* (this is not the same as the telephone corporate directory). See the list of staff directory administrators if you are not sure who this is.      

*Note that the Corporate Directory and the Staff Directory are not one and the same: The Corporate Directory is viewed from the screen on IP phones and is maintained automatically, whilst the Staff Directory is viewed via a browser and is maintained manually by designated administrators within departments.

To gain operational access to another staff member’s IT account (work communications and/or filestore) for the purposes of business continuity. The third party access form must be completed to initiate this process.

Upon graduation you will retain your Office 365 mail account for life. However, access to other resources will unfortunately come to an end, including:

  • Blackboard
  • F:\ Drive
  • MS Office suite
  • OneDrive storage

We therefore recommend you take the opportunity before graduation to transfer any data you require for future use.
